The "Production Order Shortages" screen is accessible from the Business Central search menu or via the Enquiries menu on the Manufacturing Manager and Production Planner Role Centres. It provides a comprehensive view of component shortages across your production orders, helping you to identify material availability issues before they impact your manufacturing schedule.
The "Production Order Shortages" screen provides the following features:
- View component shortages grouped by Production Order, Component, Customer, Item, or Family
- Filter by Location, Status, Due Date, Component, Customer, Item, and Family Code
- See key availability figures for each component including quantity on hand, scheduled receipts, scheduled need, and quantity needed
- Overdue components are highlighted with colour-coded due dates
- Navigate directly to the related Production Order, Item Card, Item Substitutions, or Item Availability screens
- View the Bill of Materials diagram for a production order line
- Print a shortage list for a selected production order
Opening the Screen
You can open the "Production Order Shortages" screen using one of the following methods:
- Use the search feature in Business Central and search for Production Order Shortages
- From the Manufacturing Manager or Production Planner Role Centre, select Production Order Shortages from the Enquiries menu
Views
The screen displays component shortage information in a tree structure. You can switch between five different views using the View menu in the action bar.
View by Production Order
Groups the shortage information by production order. Each production order is shown as a parent row, with its component lines indented beneath it. This is the default view when you first open the screen.
View by Component
Groups the shortage information by component item. Each component is shown as a parent row, with the production orders that require it listed beneath.
View by Customer
Groups the shortage information by customer. This view is available for production orders that have been created from sales orders, showing which customer orders may be affected by component shortages.
View by Item
Groups the shortage information by the item being produced. Each item is shown as a parent row, with the required components listed beneath.
View by Family
Groups the shortage information by production family. Each family is shown as a parent row, with the required components listed beneath.
Columns
The following columns are displayed for each component line:

| No. | Displays the number that identifies the group header. Depending on the current view, this will be the production order number, component item number, customer number, item number, or family code. |
| Description | Displays the description of the group header or the component. |
| Due Date | Displays the due date of the component requirement. Dates in the past are highlighted in red and today's date is highlighted in bold. |
| Variant Code | Displays the variant code of the component, if applicable. |
| Qty. Remaining (Base) | Displays the remaining quantity still required for the component. |
| Quantity on Hand | Displays the current available inventory for the component at the relevant location, excluding any reserved quantities. |
| Qty. on Hand after Production | Displays the projected quantity on hand after accounting for production output and consumption. |
| Scheduled Receipt | Displays the quantity expected to be received from production orders, excluding any reserved quantities. |
| Scheduled Need | Displays the quantity needed on component lines of other production orders, excluding any reserved quantities. |
| Qty. on Purchase Order | Displays the quantity on purchase orders for the component, excluding any reserved quantities. |
| Qty. on Sales Order | Displays the quantity on sales orders for the component, excluding any reserved quantities. |
| Qty. on Prod. Order | Displays the quantity being produced on production order lines. |
| Qty. on Component Lines | Displays the quantity required on production order component lines. |
| Quantity Needed | Displays the calculated quantity needed to fulfil the component requirement. |
Filters
A Location Filter field is available at the top of the screen. Use the lookup to select one or more locations, or type a filter value directly.
You can apply additional filters by selecting Document Filters from the Filters menu. The following filter fields are available:
| Field | Description |
| Status | Filter by production order status (Simulated, Planned, Firm Planned, Released). By default, finished production orders are excluded. |
| Due Date | Filter by the due date of the production order. |
| Component Item No. | Filter by a specific component item number. |
| Component Variant Code | Filter by a specific component variant code. |
| Customer No. | Filter by customer number. This filter is applicable when viewing by Customer. |
| Item No. | Filter by the item being produced. This filter is applicable when viewing by Item. |
| Family Code | Filter by production family code. This filter is applicable when viewing by Family. |
| Location Code | Filter by location code. |
When document filters are active, a summary of the applied filters is displayed beneath the location filter. To remove all document filters, select Clear Filters from the Filters menu.
Actions
Show Document
Opens the production order for the selected line. The appropriate screen is opened based on the production order status (Simulated, Planned, Firm Planned, or Released).
Bill of Materials
Opens the "BOM Diagram" screen for the selected production order line, providing a graphical view of the bill of materials.
Item Card
Opens the "Item Card" screen for the selected component.
Item Substitutions
Opens the "Item Substitutions" screen for the selected component, allowing you to view items that have been set up as substitutes.
Item Availability
The Item Availability menu provides access to multiple availability views for the selected component:
- Event — View how the actual and projected available balance will develop over time according to supply and demand events
- Period — View the projected quantity over time by period, such as day, week, or month
- Variant — View the inventory level by item variant
- Location — View the actual and projected quantity per location
- Lot — View the current and projected quantity by lot number
- BOM Level — View availability figures for items on bills of materials
- Unit of Measure — View the item availability by unit of measure
Print Shortages
Prints a shortage list report for the selected production order.
Refresh
Updates the screen with the latest data.
