An additional function available from the "Lot No. Information List" (and can be done a little differently from Clever Quality Orders) is creating Sub-Lots. Creating a Sub-Lot can be used for many purposes such as moving the full qty of a Lot to a new Sub-Lot due to blocked status, needing to record a New expiry date for some of the full quantity or even just failing some of the Qty from the original Lot Number to treat it differently to the Passed Qty in the instance of using Quality Control. 

Firstly, ensure you have confirmed which Sub-Lot Number Format you want to use when defining how the Sub-Lot number will be created. You can do this from the "Clever Item Tracking Plus Setup" page within the Sub-Lots FastTab. 

'Sequential' numbers will create the new Lot Number using the old Lot Number with a hyphen and then a sequential number afterwards. 

So for example, if my original Lot Number was 'LOT0015' then when I make a Sub-Lot, my first sublot will be 'LOT0015-01'. Any sub-lots I make again from the same original Lot Number will then be numbered like 'LOT0015-02', 'LOT0015-03' etc. Therefore the numbers are sequential. 

If you select 'User Defined', this means a new field will display on the Sub-Lot card and require a User to populate a Sub-Lot Suffix. This means at the time of creating the sub-lot, the User defines what values follow the hyphen when the new number is created. 

So using my Lot Number example above, if my original Lot Number was 'LOT0015' and I enter '888' as my Sub-Lot Suffix, then when the Sub-Lot is created, its new Lot number will be 'LOT0015-888'. This just allows more control from the User as to what number the Sub-Lot will have. 

Creating a Sub-Lot from the Lot No Information List, highlight the Lot No. you want to create a Sub-Lot for, click 'Actions' in the ribbon and select Create Sub-Lot.

A new screen will open displaying the existing Lot details and its current Location Code, Zone Code and Bin Code which can be changed if necessary. Here you can enter the Quantity of the sub-lot (this will be deducted from the Original Qty) and the Expiry Date (which will auto-populate to the original date but can be changed). The Reason Code will default to the one stored in "Clever Item Tracking Plus Setup" but can be overwritten. You will only see the field Sub-Lot Suffix if 'User Defined' is chosen in the "Clever Item Tracking Plus Setup" page for the Sub-Lot Number format. Where 'Sequential' is used, this field is hidden. 

You can also choose a new Location Code, Zone code and Bin Code for the movement of the new Sub-Lot. Press OK to confirm the creation. 

Below is an example of how the Sub-Lots are created and how they will display. The new Lot No for the Sub-Lot will be an incremented version of the Originating Lot No - suffixed as a hyphen (-) so below shows the Original Lot No as 'LOT0008'. The first Sub-Lot is created as 'LOT0008-1'. You are able to create a Sub-Lot from a Sub-Lot so using the example of Sub-Lot 'LOT0008-1', the sub-lot created from this would be 'LOT0008-1-1'.

The 2 Sub-Lots in the above example are both stamped with the Originating Lot No making it easy to trace quickly where they were created from. Against the original Lot No. is the drilldown for No of Sub-Lots which will also provide more information, displaying the Sub-Lot entries once clicked. Whilst both of these fields assist with Item traceability, Sub-Lots are also included within standard Item Tracing functionality if needed.
