You can open the "Surcharge Setup" screen from the Business Central search functionality.

You will need to complete the below information to be able to utilise the Surcharges functionality.

Surcharge Nos. This field is linked to the "No. Series" setup and must be selected to control the unique code assigned to a Surcharge within Business Central. If not already setup then you may first need to create a new "No. Series"
Activity Date

You can set the Activity Date to either Work Date, Document Date or Posting Date.

This setting will control the date that is used when working on Sales or Purchase documents to see if a Surcharge is applicable based on date validity periods that are defined within a Surcharge.

Note: for "Sales Quotes" the Document Date field is used, regardless of what is set in this field, because this is the only field that is relevant for a "Sales Quote"

Calculation Handler

Unless instructed otherwise, this field should be set to Surcharge Manager.

Note: it is possible to change the way that the system calculates Surcharges with additional development, by extending this Option set, should the documented calculation not fulfil the business requirements. 

Unapply Surcharges on Reopen

If this attribute is Enabled then if a Sales/Purchase Status is changed from Released to Open then any Surcharges that exist on the document will be removed

Creating a Surcharge

Creating a new Surcharge means defining the data that is applicable for the Surcharge you want to add to a Sales or Purchase document. Typing Surcharges into the search bar will open up the list where you can create a new Surcharge, or view/modify existing Surcharges. 

Clicking New in the ribbon will open up the "Surcharge" screen, from which you can then enter the following information.

General FastTab

No.

This field will be set based on the No. Series that was setup in the "Surcharge Setup" screen. 

If you have chosen to allow Manual Nos. for the "No. Series" then you are able to manually enter the No., otherwise you can tab off this attribute and the system will automatically assign the value for you

Description

This field is used to provide detail of the what the Surcharge is used for, with a value up to 100 characters being allowed.

Note: this is not the description that will be used on the Sales/Purchase document which the Customer or Vendor will see, this is merely for your reference 

Start Date and End Date

These attributes control the period of time for which the Surcharge is Active, with the Activity Date from the "Surcharge Setup" screen controlling the specific date on the Sales/Purchase document that will be used as the qualification criteria.

These dates should be the dates the Surcharge terms have been agreed.

If not set then when the Surcharge is made Active then a message will be shown to the user, in case they have been left blank accidentally. If blank, the Surcharge will be applicable for any Sales or Purchase Document where the "Assignments" are set, regardless of document dates.

For more information on "Assignments", check the menu headings within Surcharges. 

Apply-to Type

This attribute has options for Orders (the default setting) and Returns.

By default a Surcharge is not applicable for a Returns document, but if you wish to setup a Surcharge for a Returns cost (e.g. a restocking fee) then set the Apply-to Type to Returns

Status

The Status attribute has options for Active and Closed.

Only Surcharges that are Active can be added to Sales and Purchase documents.

A user is required to manually close the Surcharge once the End date has been reached or if the terms are no longer valid. Only once Lines and Assignments have been added can a Surcharge Card Status be changed to Active

Lines FastTab

Type

This attribute is used to control what Type of line will be added to the Sales/Purchase document and has options for G/L Account, Item, Resource or Charge (Item).

Note: selecting Charge (Item) will require a manual allocation of the line amount before the document can be posted, as per standard functionality within Business Central. 

Description Here you can enter information as to what the Surcharge is for and this information will be shown to the Customer/Vendor when they receive the document.
No. Depending on the Type attribute, here you will specify the exact "G/L Account", "Item", "Resource" or "Charge Item" that you want to use for the Surcharge line 
Quantity  Enter the amount of times the Surcharge is being calculated for the line 
Charge Type

This attribute has the following options which control how the Surcharge is calculated.

  • Fixed Value calculates the Surcharge based on the Charge RateQuantity (of the Surcharge line)
  • Line Percentage calculates the Surcharge using the Line Amount Excl VAT (of the Sales/Purchase document line) X Charge Rate (as a %)
  • Document Percentage calculates the Surcharge using the Total Amount Excl VAT (of the Sales/Purchase document) X Charge Rate (as a %)
  • Line Qty. Per calculates the Surcharge based on the Charge Rate X Quantity (specified on the document line - ignoring the Surcharge line Quantity)
    • This can only be used where Item or Item Category is used as the Source Type for "Assignments" or where used for 'Customers' or 'Vendors' as a Related Type
Charge Rate This is the value of the surcharge and is used in the above calculations
