To support the use of Workflow functionality within the credit control process some changes have been implemented.

Firstly, as documented within the Credit Control Setup section, the Credit Check on Approval attribute will control whether a Credit Check should be performed before the approval process is started. This can be used to prevent a document going through the approval process, to then be Credit Held afterwards, instead of being Released.

Using a Sales Order as an example, the use of Workflow (where the Workflow is Enabled) and credit checks can result in the following Status being applied according to different scenarios.

Scenario Status Actions Required

Credit Check on Approval is enabled

Document is sent for approval and passes the Credit Check

Pending Approval

Document will need to be approved according to Workflow setup.

After approval the document Status will be set to Released

Credit Check on Approval is enabled

Document is sent for approval and fails the Credit Check

Open

Document will be Credit Held, and the document Status will be remain as Open.

The document will need to released and sent for approval from the Credit Held List as part of the credit release process (see below for further information)

After approval the document Status will be set to Released

Credit Check on Approval is not enabled

Document passes the Credit Check

Pending Approval

Document will be sent through the Workflow process.

After successful approval, the Credit Check will be processed and the document Status will be set to Released

Credit Check on Approval is not enabled

Document fails the Credit Check

 

Pending Approval

Document will be sent through the Workflow process.

After successful approval, the Credit Check will be processed and fail, causing the Credit Status to be Credit Held and the document Status to remain as Pending Approval

The document will need to released from the Credit Held List as part of the credit release process in order to become Released (see below for further information)

As part of the credit control process, when using credit checks in conjunction with Workflow functionality a document may be Credit Held according to the above scenarios. 

To allow the credit controller to work with such documents, the Send Approval Request option (as highlighted below) has been added to the "Credit Held List" in order to trigger the the Workflow process for a Credit Held document.

As indicated by the scenarios documented above, there can be occasions where documents will be credit held either before or after the workflow process has been performed. 

If a document is credit held before the workflow has been initiated, the the Status of the document will remain as Open and instead of simply pressing the Release option from the Credit Held queue, you will instead need to use the Send Approval Request option, which will credit release the document and initiate the approval sequence. 

If a document is credit held after the workflow process has been completed, the document will be set as a Status of Pending Approval, as it couldn't be set to Released. Although not factually correct (as approvals have been completed, you can use the standard Release option at this stage to credit release the document, at which point the Status will become Released and the document can be processed.
